Who we are and what this notice covers
Ayres Plastering is the controller of personal data used through this website, quote service, customer portal, project administration, communications, invoices and payments. Questions or data-protection requests can be sent to alec@ayresplastering.co.uk.
Information we collect and where it comes from
We collect information you or an authorised person gives us, including names, contact details, property and project addresses, job descriptions, measurements, requested dates, messages, account updates and files such as photographs, videos, drawings and floor plans.
We create project records, estimates, quote options, accepted-work records, material and labour calculations, appointments, tasks, invoices, payment stages, receipts, customer-service notes and a revision history of relevant account or project changes.
When you use the site or portal, we process account and security information such as sign-in events, passkey registration data, session identifiers, IP address, device and browser information, notification preferences and audit logs. We may receive address suggestions, payment status or transaction references from service providers you choose to use. We do not receive your online-banking password or credentials.
How and why we use it
We use this information to respond to enquiries; inspect, measure and price proposed work; prepare and revise quotes; arrange dates; deliver and administer projects; communicate with customers; manage files, materials and costs; issue invoices and collect payments; maintain accurate records; prevent misuse; and secure and improve the reliability of our service.
Our lawful bases are usually taking steps at your request before a contract or performing a contract, our legitimate interests in operating and securing the business and keeping appropriate customer and project records, and legal obligations such as tax and accounting requirements. Where a particular optional use requires consent, we will ask for it and you may withdraw it.
Quote calculations and AI assistance
Our quoting tools use project details, measurements, configured rates and material prices to calculate or draft quote options. Where AI assistance is enabled, relevant text, images or extracted measurements may be processed by our configured AI service provider to help classify work, identify missing information, draft a quote or perform a quality check.
AI output is an aid to our staff. Quotes and material decisions can be reviewed and changed by a person, and we do not use AI to make solely automated decisions that produce legal or similarly significant effects about you. You can ask us to explain or review a quote.
Payments
If you choose to pay through Open Banking or another configured payment service, the payment provider and your bank process the information needed to authorise the payment. We receive information such as the amount, reference and payment status so that we can update the correct invoice. Their own privacy notices also apply to their processing.
Who we share information with
We share only what is reasonably needed with service providers that support hosting, encrypted storage and backups, email delivery, address lookup, payment and Open Banking services, security monitoring and optional AI quote assistance. We may also disclose information to professional advisers, insurers, regulators, courts or law-enforcement bodies where necessary or legally required. We do not sell personal data.
Some providers may process information outside the UK. Where required, we use an adequacy decision, approved contractual safeguards or another lawful transfer mechanism and assess the protection provided.
How long we keep information
We keep information only for as long as it is needed for the purpose described above, including handling an enquiry or project, providing warranty or customer support, resolving a dispute, preventing fraud and meeting legal requirements. Accounting, invoice and payment records are normally retained for up to 6 years where required. Other project, account, security-log and backup retention depends on the nature of the record, the status of the relationship and configured operational periods. We review records and delete or anonymise them when they are no longer required.
The public quote form may save a browser draft on your own device for up to 30 days. The draft does not store your password and is cleared after a successful submission.
Accuracy, customer edits and revision history
Portal users can update supported account and project details. We retain an access-controlled revision and audit history so we can understand what changed, correct mistakes, protect accounts and resolve project or billing disputes. A correction updates the current record; the associated audit record may still be retained where it remains necessary for those purposes or a legal obligation.
Security
We use measures appropriate to the information and risk, including access controls, authenticated customer accounts, encryption for protected records and files, audit logging, backups and service monitoring. No internet service can guarantee absolute security, so please contact us promptly if you believe your account or information has been compromised.
Your data-protection rights
Depending on the circumstances, you can ask us for access to your personal data, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You may withdraw consent at any time where consent is the basis, without affecting earlier lawful use. Some rights are subject to legal exceptions, including records we must retain.

We may update this notice when our services, providers or legal obligations change. The date at the top shows the latest revision; material changes will be highlighted through an appropriate channel.
